These Terms & Conditions (“Terms”) govern your use of the Insta Party Booths website and services. By visiting our website, requesting a quote, booking our services, or communicating with our team, you agree to these Terms.

Insta Party Booths (“we,” “our,” or “us”) provides photo booth rentals, event experiences, and related services for private events, corporate events, brand activations, weddings, social celebrations, and other occasions.

Our Services

Insta Party Booths may provide services including, but not limited to:

• Photo Booth Rentals
• 360 Photo/Video Booths
• Magic Mirror Photo Booths
• Glam Photo Booths
• Green Screen Photo Booths
• Audio Guest Books
• Flower Wall Rentals
• Brand Activations
• Custom event add-ons and related services

Specific services, rental times, inclusions, add-ons, pricing, and deliverables may vary depending on the package, event location, availability, and written agreement between you and Insta Party Booths.

Quotes, Pricing, and Availability

Quotes, estimates, package details, and availability are subject to change until your booking is confirmed. A date or service is not reserved until all required booking steps have been completed, which may include signing an agreement and submitting the required payment.

Pricing may vary based on event date, location, service type, rental duration, selected add-ons, travel distance, staffing needs, taxes, processing fees, or other event requirements. Promotional pricing, discounts, or special offers may expire or be limited to specific dates, packages, or service areas.

Reservations and Booking

Your event date is reserved only after your booking has been accepted and confirmed by Insta Party Booths. We may require a signed agreement, a deposit, a retainer, or full payment, depending on the event type and booking details.

Submitting a form, requesting a quote, or communicating with our team does not guarantee availability or reserve your event date.

Payments

Payment terms will be provided in your quote, invoice, proposal, or service agreement. Payments may include deposits, retainers, installment payments, final balances, taxes, travel fees, add-on fees, processing fees, or other charges related to your event.

Unless otherwise stated in writing, payments must be made by the due dates provided. Failure to make required payments may result in cancellation, delayed service, or release of the reserved event date.

Cancellations and Rescheduling

Cancellation and rescheduling terms may vary depending on your agreement, the event date, the package, and the circumstances. Deposits, retainers, and certain payments may be non-refundable once a date has been reserved, staff have been scheduled, custom work has begun, or equipment has been allocated.

Rescheduling requests are subject to availability and may require additional fees. If an event is postponed or rescheduled, we will make reasonable efforts to accommodate the new date, but availability is not guaranteed.

Event Requirements

The client or event host is responsible for providing a suitable and safe environment for our services. This may include, but is not limited to:

• Adequate setup space for the selected service
• Access to a standard electrical outlet when required
• Reasonable access for loading and unloading equipment
• A safe and stable setup area
• Protection from rain, wind, extreme heat, direct sunlight, or unsafe weather conditions
• Venue permission for setup, operation, and teardown
• Any required parking, loading dock, elevator, or venue access arrangements

If the event location does not meet the necessary requirements, services may be delayed, modified, or unable to be performed. Additional fees may apply for difficult access, extended setup requirements, waiting time, parking, travel, or venue restrictions.

Setup, Delays, and Event Timing

We make reasonable efforts to arrive with enough time to set up and begin services at the scheduled start time. However, delays caused by venue access issues, parking limitations, security restrictions, incorrect event information, late client approval, power issues, weather conditions, third-party vendors, or circumstances outside our control may affect setup or service time.

Rental time may not automatically be extended due to delays caused by the client, venue, guests, or third parties. Additional time may be available only if approved by Insta Party Booths and may be subject to additional fees.

Outdoor Events and Weather

Outdoor events require appropriate protection for our equipment and staff. This may include a covered, shaded, dry, and stable area, depending on the service selected.

For safety and equipment protection, Insta Party Booths reserves the right to pause, modify, move, or stop services due to rain, high winds, extreme temperatures, unsafe conditions, or weather-related concerns. We are not responsible for service interruptions caused by weather or unsafe outdoor conditions.

Equipment Care and Damage

The client is responsible for ensuring that guests treat our equipment, props, backdrops, and related materials with care. The client may be responsible for repair or replacement costs caused by misuse, negligence, theft, vandalism, spills, damage, unsafe behavior, or actions by guests, venue staff, vendors, or third parties.

Guest Conduct and Safety

We reserve the right to pause or stop services if guests behave in a way that is unsafe, abusive, threatening, inappropriate, or damaging to our equipment, staff, or other guests.

The client is responsible for their guests’ conduct and for maintaining a safe event environment.

Event Media

Depending on the services selected, our equipment may capture photos, videos, GIFs, boomerangs, audio recordings, digital messages, or other event media. Event media may be delivered via online galleries, QR codes, text messages, email, download links, or other digital channels.

Insta Party Booths is not responsible for inaccurate phone numbers, email addresses, failed downloads, expired gallery links, poor venue internet, guest device issues, or third-party platform issues that may affect delivery or access to event media.

Unless otherwise stated in writing, event media may not be stored permanently. Clients and guests are encouraged to promptly download and save their media.

Use of Event Photos and Videos

Insta Party Booths may request permission to use event photos, videos, or other media for marketing, portfolio, social media, website, or promotional purposes. We respect client privacy and will follow any written restrictions agreed to before the event.

If you prefer that your event media not be used for promotional purposes, please notify us in writing.

Custom Designs and Digital Assets

Custom overlays, templates, graphics, layouts, branding elements, and digital designs may be created for certain events. The client is responsible for reviewing and approving design details, names, dates, spelling, logos, colors, and event information before final use.

Insta Party Booths is not responsible for errors that were approved by the client or submitted incorrectly. Rush edits, redesigns, or late changes may incur additional fees and may not always be possible.

Client-Provided Materials

If you provide logos, artwork, photos, videos, music, branding, graphics, or other materials, you confirm that you have the rights, permissions, and authority to use those materials. You grant Insta Party Booths permission to use those materials as needed to provide the requested services.

Internet, Power, and Third-Party Limitations

Some services may depend on reliable internet, electrical power, third-party software, wireless networks, mobile carriers, email providers, SMS providers, or venue infrastructure. Insta Party Booths is not responsible for interruptions, delays, or limitations caused by power outages, poor internet connection, venue restrictions, mobile carrier issues, software issues, or third-party service failures.

Website Use

You agree to use our website only for lawful purposes. You may not use our website in a way that could damage, disable, overload, interfere with, or impair the website or its functionality.

You agree not to:

• Attempt to gain unauthorized access to our website, systems, or accounts
• Use automated tools to scrape, copy, or collect website content without permission
• Submit false, misleading, harmful, or unlawful information
• Use our website for spam, fraud, abuse, or unauthorized commercial activity
